Walkthrough: a services firm puts projects, timesheets and invoicing on OneYukti

This is a walkthrough, not a customer account. No company is named, quoted or measured here. It describes a professional services firm of a common shape and shows how OneYukti would be set up for it, so you can hold it against your own practice.

The starting point

Take a management consulting firm. Projects are tracked in a project tool. Consultants log time in spreadsheets. Invoices are raised in a separate accounting system. A project manager who wants to know how much of a budget has been spent has to collect timesheets, price them by hand and compare the total with the quote.

The cost shows up twice. Overruns are found after the hours have been worked, when the margin is already gone. And invoicing lags delivery, because the milestone was completed in the project tool but the invoice has to be built again in the accounting system.

The setup

The firm would run five apps in Yukti: project for projects, milestones and budgets, timesheets for the hours consultants log, invoicing for the bills those hours become, expenses for what consultants spend on the road, and employees for the people on the projects. All five sit on one system, so a logged hour counts against its project budget the moment it is saved, and a completed milestone can be invoiced from the record that already exists.

What changes day to day

• A project manager sees budget consumed against budget quoted on the project itself, updated as time is logged.
• A budget that is on course to run over is visible while there is still time to talk to the client.
• A milestone marked complete becomes a draft invoice, with the hours and expenses already attached.
• Expense claims are filed against the project and appear on the client invoice where the contract allows it.

Where AI comes in

AI in OneYukti is one feature, not the system. Here it would sit on the timesheet: reading logged hours against the plan to draft the weekly project note a manager would otherwise write by hand, which the manager reviews before it goes anywhere.
